In most cases, the facility operator is responsible for stocking and basic maintenance. If the machine is supplied under a service contract, the supplier may be responsible for machine maintenance and repairs. Clarify maintenance responsibilities when specifying a machine. Basic maintenance includes: clearing jams, checking coin mechanisms (if coin-operated), cleaning the machine exterior, and ensuring the machine is level and securely fixed.

Over-the-counter medicines such as paracetamol and ibuprofen can be sold through vending machines in the UK under the Medicines and Healthcare products Regulatory Agency (MHRA) requirements. Machines selling licensed medicines must comply with MHRA guidance and the machine must be clearly labelled with appropriate sale restrictions (e.g., age requirements). Check current MHRA guidance before including medicines in a washroom vending range.

Many machine suppliers offer machines with custom printed faceplates or branded housing in brand colours and with logos. Branded vending contributes to washroom aesthetics and reinforces the operator's commitment to quality provision. For multi-site operations, consistent branded machines across all washrooms create a cohesive appearance.

Wall-mounted vending machines are a practical and discreet provision method in school washrooms. Schools should check their local authority or academy trust guidance.
